AI receptionist vs. answering service vs. hiring: the honest comparison.

If you run a local service business, there are exactly three ways to make your phone answer 24/7. I sell one of them, so read this with that in mind. I'll still give you the honest version of all three.

The three options, side by side

When each one is right

Hire a person when call volume alone justifies a salary, or when your calls involve judgment a script can't hold, think multi-truck operations with complex dispatch. A great human is still the gold standard. The problem is that 24/7 coverage needs about four of them.

Use an answering service when the only thing that matters is that a human picks up, and callbacks the next morning are acceptable in your trade. The weakness is the handoff: a message taken at 9pm is a callback race at 8am, and the customer kept dialing after she hung up.

Use an AI receptionist when the job is high-volume, pattern-shaped intake: what happened, how urgent, where, when can we come. That is most after-hours calls in home services. The AI answers instantly, never has a bad night, and books instead of taking messages. The honest limitation: a truly unusual situation still needs a human, which is why good setups route real emergencies to an on-call phone.

The question that decides it

Do not ask "which sounds most human." Ask: what do I wake up to? Messages are homework. Bookings are revenue. Whatever option turns your 9pm caller into an 8am appointment on the calendar is the one paying for itself.
